The HOPE Research Centre (www.hoperesearch.com), affiliated with SRI, is looking for a highly qualified, reliable, and motivated individual to work as our Administrative Assistant. The individual will be part of a specialized research team, providing comprehensive financial and administrative support. Scheduling and conference planning as an administrator are the other key job functions of this position. In addition to the responsibilities listed below, the future HOPE team member needs to have excellent communication skills, the ability to multitask, and demonstrate accurate and efficient work habits with close attention to detail. This position requires daily in-person attendance during regular business hours, with no weekend work involved.

 

1) Key Responsibilities

  • Financial duties including: budget management of multiple accounts, invoice payments and reimbursement claims, petty cash requests, purchase requisitions, cost transfers, annual reporting liaising with SRI Research Finance
  • Payroll entry and maintenance, ordering study-related equipment and supplies
  • Support the HOPE manager and research staff with legal agreements related to all projects.
  • As the CAPT Administrator, booking, attending and taking minutes of Zoom meetings of the CAPT committees is required (The Canadian Association for Population Therapeutics (CAPT) is a national organization that holds an annual three-day conference in October with 200+ attendees. CAPT Board members volunteer their time to be part of committees such as membership, partnership, and scientific)
  • Work with CAPT’s website design team to update with conference details such as registrations and abstract submission, and also work with the conference venue team via booking and paying fees.
  • Various administrative tasks (e.g. filing, copying, meeting scheduling, meeting minutes, catering ordering)

 

2) Preferred Qualifications

  • University degree or Business Secretarial Diploma.
  • Minimum 2 years of office administration experience within a hospital/research environment preferred.
  • Advanced knowledge of office software (Microsoft Office: Excel, Word, Outlook, PowerPoint).
  • Exceptional interpersonal and communication skills with the ability to collaborate well with team members
  • Excellent oral/written communication, time management, and organizational skills.
  • Strong work ethic, team player, a “can-do” attitude
  • Superior grammar and proof-reading skills; accuracy and meticulous attention to detail.
  • Ability to work independently, exercise discretion, good judgement, and maintain confidentiality.

 

Salary: Starting at $55,000 annually
